Let's get together to talk about YAPC! Brief agenda:
- Review any draft proposals from next years bidders for YAPC::NA.
- Improving docs on http://code.google.com/p/tpf/
- Improving yapc.org
- Come up with a scheme to have consistent URLs through yapc.org that point to Act!
- Develop a share-able reusable sponsor doc.
- Develop a sponsor list for use year-to-year?
- Discuss the scope of YAPC with regard to the hackathon and pre- and post- YAPC accommodations.
- Could we develop a re-usable marketing plan? Where would we market YAPCs? Would it be worthwhile for TPF to pay for marketing somewhere and promote the up-coming YAPCs?

Notes
- Consider doing the YAPC::NA bid similar to the YAPC::EU bid and give the organizers a full year to plan
- Why doesn't the US have more workshops
- encourage cities to do workshops before they do YAPC's
- Philly and Minnapolis are both considering doing a workshop
- there needs to be coordination between the two since they are relatively close
- can/should this be done in the winter
- both places are cold
- why don't other people do this in the winter
- it could very well just be tradition
- the big conferences are expected to be within the same relative time period each year
- the workshops are less restrictive
- you have to take into consideration doing things during the school year
- workshops can swing it on weekends
- The venue booking is the most important part of organizing a YAPC
- Advertising
- Linux user groups are good places to recruit
- Have a perl trainer come up the day before a workshop and give a master class
- Have professors give handouts to their students
- Students typically don't really have much interest, so this could be a dead end
- also, the professors aren't very helpful... not a lot of vocational teaching
- Job fair spin worked well at YAPC::NA
- Revamp YAPC.org
- Google is offering free adwords for open source groups
- We don't have a lot of relationships with media contacts, but we need to attract them somehow
- offer a press-pass signup
- Get a list of prominant bloggers and try to get them to blog about Perl and the Perl conference
- YAPC.org reworking

- Barbie might offer some design services
- Integrate brian d foy's Perl calendar
- dynamically update the page as new events are added
- send snapshots to the perl review, linux magazine, etc
- See who comes up in 'Perl' paid ads on Google and hit them up for sponsorship
- How does the money stuff work?
- there is a lot of info in the google code document repository
- Make sure to get a letter of non-profit status
- TPF has a federal status, but doesn't have one in every state
- Make sure that TPF gets as much notice as possible to get the filing in

- Be careful co-sponsoring with student groups because sometimes universities enforce extra overhead
- Co-sponsoring with student groups can get you deep discounts for university room rentals
- Gotcha's
- Wireless never seems to go correctly
- One groups suprises don't always translate over to other groups
- There is a yapc-na-organizers list that is public
- What about yapc over the weekend (Sat, Sun, Mon)
- Seems to be a reasonable proposal
- YAPC typically needs to work around Damian's schedule
- all of the big speakers need to be contacted and the conference needs to be scheduled with them in mind
- A summer camp would be a great location for a YAPC if it was held after the school year started
- 4th of July in Philly would be a good spot
- many people will already have plans
- these are typically not good weekends to travel on
- there is always a group of guarenteed attendees at YAPC
- watch out for other conferences that might be in town at the same time as your conference
- they can cause a hotel room shortage and cause increased prices
- the cheap yapc price sometimes makes companies not send their people
- consider a 'corporate bundle' that is a more expensive package deal
- we really need to market to corporations in a better manner
- you have to actually add something to the package to legally charge more
- there needs to be a 'how to sell this to your boss' packet like on geek cruises
- can we get a list of companies that use Perl and really hit them with promotional material
- look up compaines with Perl job postings
